Quality Webs Visitor Management Terms & Conditions
Please read these Terms & Conditions carefully before using the Quality Webs Visitor Management system. By using this visitor check-in platform, you agree to follow the rules and processes described below.
1. Purpose of the System
Quality Webs Visitor Management is used to manage visitor check-in, pre-registration, QR/barcode entry, employee visit requests, attendance, approvals, and visitor records. The system is intended for reception, security, administration, and workplace visitor management.
2. Visitor Information
Visitors may be asked to provide details such as name, phone number, email address, company name, purpose of visit, identification number, address, and the employee they are visiting. Visitors must provide accurate and truthful information.
3. QR Code and Barcode Access
Pre-registered visitors may receive a QR code or barcode for faster check-in. This code is assigned to the invited visitor only and should not be shared, copied, or misused. Quality Webs may verify visitor details before allowing entry.
4. Approval and Entry
Submitting visitor details or scanning a QR/barcode does not automatically guarantee access. Entry may depend on employee approval, appointment status, security checks, identification verification, and company policy.
5. Data Use and Privacy
Visitor information is used for check-in records, appointment management, host notifications, security review, reporting, and visitor history. Administrators must handle visitor data responsibly and use it only for authorized business purposes.
6. Notifications
The system may send email, SMS, WhatsApp, or in-app notifications related to visitor invitations, check-in requests, approvals, rejections, checkout, and other visit updates.
7. User Responsibilities
Users must not submit false information, misuse QR/barcodes, attempt unauthorized access, interfere with the system, or use the platform for any unlawful or harmful activity.
8. Admin Responsibilities
Administrators are responsible for maintaining accurate settings, managing users and employees, reviewing visitor records, protecting login credentials, and ensuring the system is used according to company policy.
9. System Updates
Quality Webs may update features, workflows, templates, security settings, and these Terms & Conditions when required. Continued use of the system after updates means you accept the updated terms.
